Grundlegendes

Ein Fahrtenbuch wird immer rückwirkend für einen bestimmten Zeitraum erstellt.

Wählen Sie das gewünschte Fahrzeug aus und Sie gelangen in das Hauptmenü des Fahrtenbuchs.

Zu Beginn ist für kein Fahrzeug ein Fahrtenbuch angelegt. Daher müssen Sie nach der Fahrzeugauswahl zuerst ein neues Fahrtenbuch erstellen. Klicken Sie dazu auf die Schaltfläche "Neues Fahrtenbuch für Fahrzeug XY".

Ein neues Fahrtenbuch erstellen

Im ersten Schritt wird Ihnen der aktuell im Portal bekannte Kilometerstand und das Datum des letzten Kilometerstandsetzens angezeigt. Sie haben die Möglichkeit mit einem neuen Abgleich fortzufahren ("Weiter") oder ohne einen neuen Abgleich ("Weiter ohne Abgleich").
Falls Sie ohne einen neuen Abgleich fortfahren möchten, geht dies nur, wenn das Ende des zu erstellenden Fahrtenbuchs vor dem Datum des letzten Abgleichs ist.
Wenn Sie mit einem Abgleich fortfahren möchten, geben Sie bitte den momentanen Kilometerstand Ihres Fahrzeuges ein, um Portal und Box in Ihrem Fahrzeug aufeinander abzustimmen. Klicken Sie auf "Weiter".
Warten Sie einen Moment, es erscheint die Meldung das die Kilometerstände angepasst werden, sobald die Box den neuen Wert bestätigt hat. Dies kann ein paar Minuten dauern.

Im zweiten Schritt wählen Sie bitte den Zeitraum aus den das Fahrtenbuch umfassen soll, um den Monat März als Fahrtenbuch zu erstellen z.B. vom 1.3.200X bis 31.3.200X. Das Enddatum muss mindestens einen Tag in der Vergangenheit liegen, Fahrtenbücher können nur bis "gestern" erstellt werden.

Der dritte Schritt ermöglicht die Ausblendung kurzer Stopps in dem sie eine Maximalstanddauer angeben können.

Wenn Sie alle erforderlichen Informationen korrekt eingegeben haben wird nun das Fahrtenbuch für den gewählten Zeitraum erstellt und im Anschluss angezeigt.

Fahrername

War zum Zeitpunkt des "Zündung aus" Signales ein Fahrer am Fahrzeug angemeldet, wird der Fahrername vorbelegt.

Fahrtzweck

Je nachdem welcher Schalter/ welcher Status gesendet wurde wird dieser bei Erstellung des Fahrtenbuches vorbelegt.
Es gibt folgende Status:

• Privatfahrt
• Heimfahrt
• Dienstfahrt
• (2 benutzerdefinierte Fahrtzweckarten)

Vorrang hat die Privatfahrt vor der Heimfahrt, danach die Dienstfahrt, anschließend die beiden benutzerdefinierten Arten!

Fahrtenbuch anzeigen

Klicken Sie auf "Fahrtenbücher anzeigen für Fahrzeug XY" um eine Liste aller Fahrtenbücher dieses Fahrzeuges zu erhalten. Falls hier keine Fahrtenbücher angezeigt werden müssen zuerst ein neues Fahrtenbuch erstellen. Klicken Sie auf "öffnen" um ein Fahrtenbuch zu laden.

Das YellowFox Portal prüft bei öffnen eines Fahrtenbuches automatisch auf inhaltliche Fehler und signalisiert diese zum einen durch eine Meldung, zum anderen durch rotes markieren der betreffenden Einträge. Ein möglicher Fehler ist z.B. eine Abweichung zwischem dem End-Kilometerstand einer Fahrt und dem Anfangskilometerstand der nächsten. Hier müssen sie manuell die Kilometerstände angleichen.
Ein weiterer Fehler tritt auf wenn das Portal feststellt, das die Durchschnittsgeschwindigkeit für eine Fahrt bei weniger als 5 km/h lag. In diesem Fall ist davon auszugehen das hier mehrere Fahrten oder auch eine Standzeit vorlag und das Portal durch unzureichende Daten keinen sinnvollen Fahrtenbucheintrag erzeugen konnte.

Welche Daten können bearbeitet werden?

Fahrten die keine Inhaltlichen Fehler aufweisen:

• Fahrttyp
• Fahrer
• Fahrtzweck

Fahrten mit inhaltlichen Fehlern:

• Km-Stand
• Uhrzeit

Welche Funktionen haben die einzelnen Links?

• ändern = stellt diesen Fahrtenbucheintrag einzeln zur Bearbeitung dar
• speichern = speichert die am Fahrtenbuch vorgenommenen Änderungen
• verbinden = führt den vorhergehenden Fahrtenbucheintrag mit diesem zusammen
• PDF erzeugen und anzeigen = Fahrten als PDF ausgeben

Denken Sie daran, Änderungen am Fahrtenbuch immer mit "speichern" zu bestätigen.

A logbook is always created repercussive and for a special time frame.

At the beginning there is no logbook created for any vehicle. The first thing you need to do after selecting the vehicle is to create a new logbook. Therefore click on the button "New logbook for vehicle XY".

In the first step you will see the last known milage value from the portal and the last date of odometer synchronization. You can now continue with a new synchronization ("next") or continoue without any milage setting ("next without synchronization"). If you want to continue without synchronization, you only able to go on, if the end date of the created logbook is before the last date of synchronization. If you continue with a synchronization, please enter the current odometer value of the vehicle, to synchronize the vehicle and the portal. Click on "next". Please wait a moment, you will see a info, that the synchronization is in progress. Immediately the box acknowleged the milage setting you are able to continue with step 2. This procedure can take a few minutes.

In the second step you have to select the timeframe for the logbook. To create a logbook for the month march for example you have to enter from 1.3.200X to 31.3.200X. The ending date has to be at least one day in the past. Logbooks can only be created up to "yesterday". Click on "next" and wait a moment.

In the third step you can hide short stops by entering a maximum stop duration. Click on "next" and wait a moment.

If all information are correct the logbook will now be created and displayed.

driver name

If there was a driver in the car authentificated at the moment of "ignition off", the name of the driver will be preallocated.

trip type

Depending on the switch/ state that was sended, the trip type will be preallocated correspondingly. Existing trip type states:

• private trip
• home trip
• officially
• (2 custom logbook trip types)

Priority is: prvate trp, home trip, 2custom logbook trip types and the rest is preallocated as officially trip!

display a logbook

Click on "show logbooks for vehicle xy" to see a list of all logbooks of the vehicle. If no logbooks are displayed you have to create logbooks first. Click on "open" to show a logbook.

The portal will check every logbook of errors as soon as you open it. Errors will be displayed by an message and the corrsesponding entries will appear in red colour.

A possible error is for example a difference between the end milage of a tript and the start milage of the next trip. In this case you have to adapt the milage manually. Another error occurs when the portal regocnizes that the average velocity for a trip is below 5 kilmeter per hour. In this case it is in all probability that the vehicle submited insufficient data and the logbook could not create a valid entry.

Which information can be edited?

Trips without errors:

• type of the trip
• driver
• purpose of the trip

Trips with errors:

• milage
• time

What is the purpose of the links?

• change = displays this logbook record so that it can be edited
• save = save the changes you made in the logbook
• connect = creates one trip of the trip before this one and the current one
• generate PDF and show it = displays the logbook as PDF

HINT: Don't forget to save your changes after you edited the logbook.
