Administrate your attachments by using the file storage. You need the portal right file storage to use this module. You have to have at least the right to see files, to be able to access the global file storage.

Description

Use the file storage to upload files to YellowFox, administrate them and access them from different points of the portal. This might be useful to give some additional info to a driver. You can upload an arbitrary amount of files. But please notice that the storage space is limited. This depends on your booked tariff options.

The function range depends on your right level for the file storage. With see level you can only open the directory structure. You need the level send to be able to attach files in other modules. Only with manage level you will be able to upload new files and make changes to existing files and directories.

Administration

Administration can be accessed by main menu communication → file storage → administration. Here you can up- and download files and administrate your directory structure.


Directory structure

By default your file storage consists of a root directory and the folders bin, temporary files and uploads. You can rename these folders but you can not delete them. Anyway you can add new directories. To do so hover the house symbol on top left and click add directory. A new directory will be added to currently open directory. It is called new folder by default. You can edit the name immediately.

To navigate through your directory click on a folder. To go back to previous level click on it in the displayed file structure above or go back to root by the house symbol. User defined directories can be renamed, moved or deleted. Furthermore you are able to export the whole folder to a ZIP archive. These actions are available by action menu on the right side of each folder.

You can view all changes that were done to a directory by clicking on change history action.

Files

Upload

To upload a new file, hover the house symbol on top left and click on add files in the menu. The file system of your computer will open. Select the files you want to upload. Please notice that only the following file types are supported:

  • PNG
  • JPG
  • GIF
  • MS Word
  • MS Excel
  • PDF

Furthermore files should not be bigger than 1.5MB.

The status of your upload is displayed in main menu bar. The new files will be saved in currently open folder of file storage.

If you are creating a message or order by using the respective modules, you are also able to upload data from there. These files will be automatically added to file storage into the temporary files directory.

Administrate

Existing files can be renamed, moved, deleted or downloaded. These actions are available by action menu on right side of each file. Furthermore you can view all previous changes to this file by change history action.

A deleted file will be moved to bin first. After 30 days it will be removed ultimately. Before that you can restore the file by using the action menu. If you do not do this and the 30 days are due, the file will not be available anymore. If you attached the file somewhere you will still be able to see the file name at the respective parts of the portal, but you can not view or download it.

To manually ultimately delete a file from bin, there is an additional option ultimately delete for these files. To clear the whole bin, hover the house symbol on top left and click on clear bin


Use files

Uploaded files can be attached to messages or orders. You can attach 6 files at max which altogether should not exceed 9MB. You can access the file storage from the input masks of create order resp. send message. You can also use drag and drop to add new files.

Furthermore you can attach existing files in portal chat. Click on the paperclip symbol in message input field to do so.

In message and order management you can view the attached files in an optional column. Click on a file name to download the file. Image files will open a preview first.


Please notice that only displays with a compatible Fleet App version can receive file attachments.
