5 You can save events and documents relating to your vehicle in the vehicle archive. This allows you to take a detailed look at the vehicle's history. The vehicle file is automatically populated with events from “Service & Maintenance,” but you can also enter manual events such as the purchase date or accidents to document your vehicle completely. In addition to events linked to a specific date, you can also upload key documents relating to a vehicle. These could be a vehicle registration document or a leasing contract, for example. This gives you quick access to the most important information about your vehicle at any time.

11 You can upload central vehicle documents in the vehicle editor. To do this, go to Fleet Management and click on “Edit Vehicle” in the action menu. A dialog box will open. Now switch to the “Vehicle archive” tab and the “Vehicle documents” sub-area. Here you can upload new files and access files that have already been uploaded. To upload a new document, click on “Upload document” or drag and drop the document into the window. The file will be uploaded automatically.

13 To make it easier to find files later, you can edit the document afterwards. To do this, click on the three dots in the upper right corner of the document and select “Edit.” A side window will open where you can customize the name and add keywords. Keywords will help you search for files more easily later on. The name you choose is only used for display in the portal and does not affect the name of the document when you download it.

15 You can also use the 3-dot menu to download or delete the document. If your document is an image, you can also view it without downloading it.

21 In addition to the vehicle editor, the Vehicle archive module also allows you to search for documents across your entire fleet. To do this, go to the //Vehicle archive→ Documents// module via Fleet Management. Here you will see a list of all vehicles and their documents. Click on a vehicle name to expand the data and display the documents. Here  you can upload documents by either clicking on the “Upload Document” button or dragging and dropping the file onto the desired vehicle.

27 The vehicle archive includes 3 types of events:

29 * events generated by maintenance events of "service & maintenance"

33 You can show the list of events in vehicle editor by opening the tab vehicle archive //→ //history. To research your whole fleet go to vehicle management //→ vehicle archive. //Both views show you all events as a table. Opening the history for your whole fleet gives you more possibilities for research as it allows you to filter by groups, catch words or time range.

37 In both research views, you have the option to create a manual entry. Your new entry requires a title and a date in order to be displayed in the vehicle archive. Optionally, you can add keywords and a descriptive note. It is also possible to attach files. For example, you could manually enter an accident and attach the damage report. An optional field for costs allows you to easily evaluate the costs incurred by your vehicle fleet at a later date. You also have the option of editing existing entries. For example, you could attach an invoice to a maintenance entry.
